Thank you for presenting at the Victorian Allied Health Research Conference 2017 – Allied Health Future Directions.

Guests Speakers are also asked to chair the session in which they are presenting.

Please check the online conference program to re-confirm your session.

Below are some tips to assist with your presentation, most importantly please ensure you start and finish your presentation on time.

  • Please upload your presentation to the following Dropbox folder by 10 March 2017 conference.  VAHRC 2017 Presentations
  • Please also bring your presentation files to the conference on a USB (embed any content such as audio or video – do not link to external files).
  • When you arrive at the venue you will be directed to the Speaker’s Preparation Room.
  • An AV technician will check to confirm your presentation is correct and load your presentation on to a central computer and network it to the appropriate room and session.
  • The presentation computers use PowerPoint with Windows operating system. As a backup, we suggest you bring your laptop if you use a Mac or require a specific or uncommon program.
  • Note:  Please ensure your PowerPoint presentations are in 16:9 aspect as 4:3 aspect (square) presentations will not fill the venues screens.
  • Please go to your session room 15 minutes prior to the start time to meet the AV technician, and familiarise yourself with the room and audio visual setup.
  • Please be seated in the front row so that you can move to the lectern quickly.
  • There will be an AV technician roaming between the session rooms to trouble shoot any technical issues should they arise.
  • During your presentation, please keep a strict eye on the time. The time allocated to you in the program includes question time.
  • Your allocated presentation length is 20 minutes plus 5 minutes question/discussion time.

Session Chair Guidelines

Thank you for chairing a session at the Victorian Allied Health Research Conference 2017 – Allied Health Future Directions.

Whilst we don’t anticipate any changes please check the program again here prior to your session.

Below are some tips to assist you with the chairing process. Most importantly, please ensure you start and finish all presentations on time and keep to the order in the program.

Session Times:

  • Oral presentations – 12 minutes + 5 minutes questions
  • Student research higher degree symposium – 3 minutes
  • Group symposium – 100 minutes including question time

Before the Session

  • All abstracts are available on the conference website and contain the information to introduce the speakers with their affiliation.  A printed copy of abstracts will be available for you in your session room.
  • Please go to your session room 15 minutes prior to the start time to meet the presenters, to familiarise yourself with the room and to introduce yourself to the AV technician.  There will be technicians roaming between the session rooms to load the presentation files and to trouble shoot any technical issues should they arise.  There will be a chair table set up in the room with time cards (5 minutes, 2 minutes, 1 minute), a bell for signalling the end of each presentation and a microphone.
  • Advise the presenters that you will be signalling the time and ringing the bell when they have to stop.
  • Presenters will load their slides in the Speaker’s Prep Room prior to the session. If they have not done so please direct them to the AV technician in the room, located on Level 1.
  • Presenters will be asked to sit in the front row of the theatre so they can move to the lectern quickly at the end of the previous presentation.
  • You will be advised of any housekeeping items or program updates by the registration staff or committee. Please announce these at the beginning of the session.
  • In larger rooms there will be a Q&A microphone available. Ask a member of the audience to be a microphone ‘runner’, if required.

During the Session

  • Begin the session on time, announce any housekeeping and ask that all electronic devices are to be turned to silent.
  • Please use your phone to keep to time (your phone is more accurate than having individual clocks).
  • Introduce each presentation with the title, the presenter, the presenter’s affiliation and short biography.
  • If a presentation is withdrawn or a presenter does not arrive do not bring the next presentation forward, use the time for questions (delegates will be planning to come to presentations based on the published session times).
  • Ensure each session starts and finishes on time.
  • At the end of each presentation be prepared to ask a question if no questions are forthcoming from the audience and time allows.
  • Do not ask any questions if the presenter has used all their allocated time.
  • At the conclusion of the session thank the presenters.
  • Use any remaining time for questions and discussion.
